FixFlow Privacy Policy
Draft — last updated July 29, 2026. Placeholder text pending legal review.
What FixFlow is
FixFlow is a maintenance management tool used by organizations to report, assign, and resolve maintenance work. Your account exists inside an organization; the organization's administrators control who can join it and what data it holds.
Data we collect
- Account data: your name, email address, and role, provided at sign-up or by the administrator who invited you.
- Work data: work orders, comments, checklists, quotations, ratings, and maintenance schedules you or your teammates create.
- Photos and signatures: images you attach to work orders through the camera or photo library, and completion signatures you draw. These are only collected when you actively attach them.
- Push token: a device token used to deliver notifications about work assigned to you, registered only if you allow notifications.
FixFlow does not collect advertising identifiers, location traces, or contact lists, and currently includes no third-party analytics.
Where it lives and who sees it
Data is stored with our hosting subprocessor (Supabase) and, for push delivery, device tokens pass through Expo's notification service. Access is scoped to your organization and role: for example, a requester sees their own tickets, a vendor sees only work assigned to them. Media files are served through expiring signed links, never public URLs. We do not sell or share personal data with advertisers.
Device permissions
The mobile app asks for the camera (scanning asset QR labels and photographing issues), the photo library (attaching existing photos), and notifications (work assignments and status updates). Each is optional and requested only when the related feature is used.
Retention and deletion
Work data belongs to your organization and is retained while the organization's account is active. To correct or delete your personal data, contact your organization's administrator, or reach us at [contact email — TODO] and we will respond within 30 days.
Changes
We will update this page when the policy changes and note the date above. Material changes will be announced in the app.
